A. MANDATE, MISSION AND VISION

Mandate:

The Academic Registry serves as the central administrative body responsible for managing student data and academic processes. It provides direction for all areas of academic and student administration including student recruitment, admissions, enrolment, examinations, graduations, and student life while ensuring the integrity of academic records and institutional compliance with government and academic regulations.

Mission:

To continually improve the effectiveness, efficiency, and quality of processes and services provided by the University, in line with its strategies and to deliver excellent student experiences by managing student contracts and maintaining accurate data on students and courses.

Vision:

To position the Academic Registry as the backbone of academic administration, the pivotal link between students and the larger educational framework by embracing digitisation, investing in technology, and regularly reviewing policies to prepare for future challenges and opportunities.

 

B. BRIEF DESCRIPTION OF THE DEPARTMENT

The Academic Registry of Zimbabwe National Defence University (ZNDU) is the central administrative body responsible for overseeing all academic and student administration functions. It serves as the institutional link between students, faculties and administrative departments, ensuring seamless coordination across the University. The Registry manages the full student lifecycle from recruitment and admissions through registration, examinations, and graduation while safeguarding the integrity of student records and academic processes.

Operating through two primary offices, the Admissions Office and the Student Records Office, the Registry handles application processing, student enrolment, records maintenance, and data management. It also provides essential administrative support, academic advising, and student services, while ensuring compliance with government regulations and institutional policies.

The Registry leverages data analytics to inform decision-making and policy formulation and continuously works to improve service delivery and institutional efficiency. Through proactive marketing of University programmes and engagement with prospective students, it contributes to the growth and sustainability of the University. Overall, the Academic Registry plays a pivotal role in maintaining institutional legitimacy, upholding student rights, and enhancing the overall student experience at ZNDU.

C. KEY ACHIEVEMENTS OF THE DEPARTMENT

Standardised Admissions Process

1.       The Registry has established a clear, standardised application pathway covering Diploma, Undergraduate, Postgraduate, Transfer and International admissions, enhancing accessibility and transparency for all prospective students.

Comprehensive Records Management

2.       The Student Records Office successfully maintains accurate and secure student records from registration through to graduation and beyond, ensuring data integrity across all study programmes.

Multi-Level Admissions Management

3.       The Registry effectively manages five distinct categories of admissions, demonstrating the capacity to handle a diverse and growing student population.

Coordination of University Marketing

4.       The Admissions Office actively manages the marketing of ZNDU programmes through its website, outreaches and other platforms, contributing to institutional visibility and student recruitment.

Regulatory Compliance

5.       The Registry has established processes to ensure adherence to government and academic regulations, thereby maintaining institutional legitimacy and protecting student rights.

 

D. KEY DEPARTMENT ACTIVITIES

The following are the key activities carried out by the Academic Registry:

Admissions Office Activities:

  • Advertisement of University programmes in line with the University Calendar of Events, in coordination with teaching faculties and the Public Relations Department (PRD)
  • Preparation of applicant profiles and forwarding sorted applications to respective faculties for candidate selection
  • Preparation and dispatch of Offer Letters based on faculty selection outcomes
  • Student rollover for applicants who accept offers and meet the minimum fees threshold
  • Dispatching enrolled students' files to the Student Records Office and respective faculties
  • Responding to inquiries from students and external agencies
  • Managing University marketing and online programme advertisement

Student Records Office Activities:

  • Confirming student registration and maintaining accurate enrolment records
  • Monitoring and updating student records to reflect current study programmes, status, and fee structures
  • Processing student and faculty requests for amendments to student records, with guidance on relevant policies
  • Managing module registration, programme enrolment, and fee records

Cross-Cutting Registry Activities:

  • Data management and analytics to support institutional decision-making and policy formulation
  • Providing academic administrative support to all faculties and departments
  • Delivering student services including academic advising and counselling referrals
  • Ensuring compliance with government and academic regulations
